Full Job Description

For over 25 years, the Collaborative for Teaching and Learning (CTL) supports great teaching and learning across the region. CTL is looking for an Administrative Assistant who is a proactive, team-oriented person who can thrive in an ever-evolving organization. This is a hands-on role that requires someone who is organized, and can handle multiple projects simultaneously. You will provide support for project staff and organize the product fulfillment process for our educational programming. 

As Administrative Assistant, you will:

Administrative Support

  • Make and coordinate all meeting and travel arrangements for staff and consultants including airline, hotel and rental car reservations, and ensure prompt/accurate communication with all parties as to arrangements
  • Maintain master organizational calendar including all meetings, workshops, conferences, etc. for all projects assigned to and in coordination with other CTL projectsPro
  • Stay current with technology and apply technology tools to enhance work process and products
  • Look for ways to increase effectiveness and efficiency of job functions
  • Provide administrative support to management team

Program Support

  • Provide manager back-up, function as a clearinghouse for project-related issues 
  • Make arrangements and coordinate meetings, workshops and conferences for specific programs
  • For on-site meetings, prepare training room according to meeting needs and clear room of meeting materials and equipment when meeting concludes
  • Maintain regular communication with Educational Programs Specialists and other trainers regarding needs/requirements for specific workshops
  • Coordinate, prepare, and place/fulfill orders for various CTL product sales
  • Coordinate, prepare, and place orders for materials required for events including workshop handouts, trainer/participant supplies (e.g. kits, art boxes), sign-in packets (including registration sheets, name tags, pens, etc.), etc. 
  • Create and maintain spreadsheets and databases as required to manage client/participant information and track inventory of items in stock for order fulfillment
  • Maintain program files 
  • Close-out workshops after completion including verifying participation from sign-in sheets, collection and synthesis of evaluation forms, collection/filing/distribution of unused/returned workshop materials
  • Other duties as assigned.

Wage/salary is dependent upon experience.
